What's the connection between job descriptions and the Americans with Disabilities Act (ADA)?

The ADA requires that employers not discriminate against disabled applicants and employees who can perform the essential functions of the job...with or without accommodation. In addition, the disabled applicant or employee has an obligation to tell an employer if he or she would need an accommodation to perform the essential functions of the job.

A correctly written job description makes it possible for the employer to tell the applicant or employee which job functions (duties/tasks) are essential and which job functions are not essential. A correctly written job description also gives the applicant or employee specific measurements of the physical demands of the essential functions.

With this information the applicant or employee and the employer can intelligently discuss possible accommodations that could permit a disabled individual to perform a job.

Title: Office Assistant

Job Classification: Hourly, non-exempt

Supervisor: Office Manager

Job Summary: Fill orders for products and services. Compile and complete bulk mailings. Do general clerical work, including filing, data entry and telephone answering.

Typical Physical Demands: Regularly use hands to manipulate tools, controls, and computer keyboard. Frequently stand, reach with hands and arms, climb, balance, and stoop. Sit and stand to do clerical work. Lift from floor level to heights of up to 36 inches boxes weighing up to 45 pounds.

Typical Work Conditions: Work is performed in an office environment. Employee occasionally interacts directly with other staff members during the workday.

Essential Job Functions:

1. Take charge of mailings - from single pieces to several thousand pieces.

2. Process orders as they are received.

3. Prepare cartons for mailing.

4. Keep mailing room stocked with necessary supplies.

5. Fill each order accurately and efficiently.

6. Compile reports for Director of Development.

7. Maintains accurate files for all mailings.

8. Process all product returns.

9. Prepare bulk mailings and take them to the Post Office.

10. Enter data into computer.

11. Generate computer reports and make copies of diskettes.


Other Job Functions:

1. Answer telephone and take information from callers, and route calls to appropriate persons.

2. Make telephone calls and write letters to assist the President.

3. Perform other duties for which qualified, from time to time, as assigned by supervisor or President.

Essential Job Qualifications, Experience and Skills:

1. Ability to organize work, set priorities and make productive use of time.

2. Ability to accept changes in routine.

3. Ability to follow direction in practices and procedures.

4. Ability to talk with others by telephone, in a patient, pleasant and
cooperative manner, using standard, grammatically correct American English.

5. Ability to accurately type or enter into a computer 275 characters
or 60 words per minute.

6. Neat, clean, businesslike appearance.

7. Able to work cooperatively and with a positive manner with staff associates.

Other Job Qualifications, Experience and Skills:

1. Ability to compose brief business correspondence, using correct spelling and grammatically correct American English.

2. Working knowledge of computer word processing.

3. Ability to operate such standard office machines as a typewriter,
a copier, a FAX, and a postage meter.
